Participant Management Panel Help

This guide covers all features for managing participants, including adding, editing, deleting, importing, exporting, filtering, and assigning participants to events and heats.

Introduction

The Participant Management panel is the central hub for handling all participant data in the system. Only users with appropriate administrative roles can access this panel. It supports bulk operations, advanced filtering, CSV import/export, and event/heat assignments to keep your participant list accurate and up to date.

  • Add/Edit/Delete Participants: Manage individual participant records with full details.
  • Bulk Import: Import participants from a CSV file, with options to assign to events and overwrite duplicates.
  • Bulk Export: Export filtered participant lists to CSV, including event and import status.
  • Bulk Assignment: Select multiple participants and assign them to events and heats in one action.
  • Advanced Filtering: Filter by gender, category, event, import status, and search by name or bib.
  • Statistics: View total participants, assigned/unassigned counts, and import stats.
  • Table & Card Views: Switch between compact table and card layouts for easier browsing.

How do I add a new participant?
Click the Add New Participant button at the top right. Fill in the required details and save.
How do I import participants from a CSV file?
Use the Import card. Select an event, choose your CSV file, and (optionally) enable overwrite for duplicates. The system will process the file and show a summary.
How do I export participant data?
Use the Export card. Applied filters will be included in the export. Choose your format and download the file.
How do I assign participants to events or heats?
Select participants using checkboxes, then use the Bulk Assignment card to choose an event and optional heat.
How do I filter or search for participants?
Use the dropdown filters for gender, category, event, and import status. Use the search box to find participants by name or bib number.
What do the statistics cards show?
Total participants, how many are assigned to events, unassigned count, and recent import statistics.
Can I switch between table and card views?
Yes, use the view toggle buttons to switch between compact table view and detailed card view.
How do I edit a participant's details?
Click the edit button (pencil icon) next to the participant in the table or card view, make your changes, and save.
Can I delete participants?
You can delete participants that are not assigned to any events. Participants in events should be removed from events first.
What happens if I import duplicates?
By default, duplicates are skipped. Enable Overwrite duplicates to update existing records with new data from your CSV.
Can I undo a delete or import?
No. Deletions and imports are permanent. Always double-check before confirming bulk actions.

  • Import fails: Check that your CSV file has the correct format and required columns (name, category, etc.). Review the error details in the import summary.
  • Cannot delete participant: Participant may be assigned to events. Remove from events first, then delete.
  • Bulk assignment not working: Ensure you have selected participants and chosen a valid event. Heats must be configured for the event.
  • Export incomplete: Applied filters affect export results. Clear filters to export all participants.
  • Search not finding participants: Try broader search terms or check spelling. Clear filters to see all participants.
  • Export not working: Ensure your browser allows downloads. Try a different browser if issues persist.
